You can create as many workflows as you'd like, customize them, and assign them to the appropriate customers. You can customize them according to your customer's language, your business relationship (using formal or informal language), or you can set-up a specific reminder frequency for "bad payers". Once your workflow is ready, you can assign it to a customer. You can assign one or more customers to any given workflow.
You can also easily assign account managers to involve them in the chasing process.
Solution 1: Assign workflows and account managers via our filters & saved views
You can filter your customers based on different criterias like tags for example and then simply mass select them and click on "Action" > "Assign a workflow".
You can also save this view to assign it again later on if necessary.
Solution 2: Assign workflows and account managers automatically and in real-time via our API
[We highly recommend this solution, it requires help from an IT resource and Zapier plan pro]
When you integrate your billing data through our API, it is possible to directly assign a collection workflow or an account manager to a customer through our Customer endpoint (both when creating or updating a customer) according to your own logic.
If you are using one of our native integrations like QuickBooks Online, Chargebee or Stripe Billing, you can use the same API functionality to do this via Zapier or any other automation platform.
Depending on a trigger from your billing software, you can then configure rules to dynamically update the corresponding customers in Upflow.
For example, you can assign different collection workflows depending on the customer's registered payment method in Chargebee by having a branching logic :
And then making a PUT request to the customer in Upflow to update their "dunningPlanId":
NB: your "dunningPlanId"s are available upon request, please reach out to us to get yours!
Solution 3: Manual csv import
We can perform csv imports based on the customer name and the external id.
Here's a full article on this.
Start by exporting your customer tab from Upflow.
Fill out the following columns:
-
column G "Account manager" with the account manager's email
-
Fill out column H "Workflow" with the right Workflow Name
Solution 4: Manually
In the Customers tab:
-
As a group:
-
Select one or more customer accounts
-
Click "Assign a workflow"
-
Choose the workflow to add your customer(s)
Or, this can be done by downloading the list of customers by clicking on "Export". You then add an extra column for "Workflow" where you fill in the assigned workflow. You can then send us this file and we will take care of assigning the customers for you.
2. Individually
-
Go to a customer profile page
-
Click on the pencil next to the title of the already assigned workflow to change it.
